Executive Coordinator 

 
 

Overview: 

Black Visions is currently seeking an Executive Coordinator to support the management of operational systems, ensure effectiveness, and directly support Co-Directors and the Deputy Director in being strategic leaders. We are looking for someone who is tech-savvy, experienced in supporting organizations, detail & process oriented, and able to make independent strategic decisions. This role will be a bridge and coordinator across many aspects of the organization, while working directly with Co-Directors and the Deputy Director to develop and implement systems that support sustainability. In this role, they will be an innovative and thoughtful leader and helper in the planning, organizing, and completion of various administrative and effectiveness building aspects of our work with the management & executive level leadership. This role will work with Co-Directors, the Deputy Director and the HR Manager to track and coordinate individual and organizational priorities, assure preparation for meetings and detailed completion of special projects. The Executive Coordinator also manages preparation, logistical support and follow up for Leadership Team(s). The ideal candidate will be resourceful and able to prioritize multiple tasks, including schedule, travel and event planning, meeting coordination, and drafting and formatting high quality documents in a professional and organized manner.

Core Responsibilities: 

Administrative Support & Leadership 

  • Primary administrative support to Co-Directors and Deputy Director, including scheduling, email management, travel arrangement, and completion and submission of expense reimbursements.

  • Manage and hold accountable the Co-Director's and Deputy Director’s time to reflect organizational and individual priorities. This includes fielding and prioritizing meeting requests, meeting preparation, coordination & notes, and tracking meeting follow ups.

  • Proactive preparation for Co-Directors and Deputy Director, including researching bios for new relationships & funders, and policy and issue area priorities for foundations, local & national allied organizations, and elected officials.

  • Draft and edit special writing projects including emails, letters, operations materials/templates, and foundation presentations with some light design of visual aids.

  • Administrative support to the Black Visions Core Leadership team and eventually the Policy Board. This includes planning logistics for retreats, coordinating meetings, scheduling committee meetings, preparing remote call-in technology, note taking, tracking meeting follow-up items, editing proposals, and coordinating materials for each meeting.

Organizational Operations & Logistics

  • Work with a cross-organizational team to coordinate logistics at internal organization-wide events (strategic planning retreats, staff and board meetings, etc)

  • Fiscal sponsor coordination and support transition process to organizational independence

  • Work with the Operations team to develop & improve systems, policies, and practices to support staff, Policy Board, and Executive Team

  • Complete and coordinate special projects and research assignments as needed, as assigned by the Co-Directors

  • Co-leads, alongside Ops Coordinator, org wide purchasing and managing all vendor contracts/payments (bills, consultants, team stipends, developing MOU’s etc, technology).

Office Management 

  • Manage the office: maintain office supplies, needs, and systems; coordinate with property manager and office support vendors

  • Manage organizational emails and passwords 

  • Manage Google drive and files

    • Regularly “clean out” files and supports staff in keeping things organized and accessible

    • Ensures proper documentation/archiving of critical conversations, projects, and decisions 

  • Other duties or tasks may be assigned on an as-needed basis


Note: when Black Visions returns to in person working, this role will “staff” the office/front desk. We do not anticipate returning to regular in-person office usage before early spring 2022.

Experience and Qualifications Required:

  • 3+ years experience in administrative/coordinator position

  • Community based work in Black communities, especially Black LGBTQ communities

  • Strong writing and verbal communication skills; advanced skills using Microsoft Suite & Google Suite applications, tech and internet based technology management

  • Exceptional attention to detail

  • Excellent personal accountability and follow through

  • Establishing and maintaining effective working relationships with co-workers, organizational members, contractors, community members and stakeholders

  • Strong sense of personal initiative and self-reflection

  • Relational with others while able to hold personal boundaries

  • Innovative and a committed problem solver; identifying problems and opportunities, and developing solutions

  • Ability to multitask and prioritize competing tasks and deadlines in a fast-paced environment

  • Common sense, flexibility, and teamwork skills with the ability to exercise independent judgment

  • Steadfast commitment to collective liberation and ability to speak to Black Visions’ mission and vision

  • Time and project management skills; ability to pivot to meet current events and organizational needs 

  • Working in collective or cooperative settings

This is a full-time, salaried position. Salary will be set commensurate with experience and will include a full and generous package of benefits including health and dental insurance, matching retirement, investment in personal development, and an expansive time off policy. 

Salary range: $50,000 - $55,000 commensurate with experience
