People and Operations Coordinator

 
 

Overview: 

The People and Operations Coordinator will perform administrative tasks and projects to support effective and efficient operations of the organization's human resources and operations departments. This role will provide direct administrative support to the Deputy Director and will function in tandem with the Executive Coordinator and the Operations Coordinator. This role will lead all office management and provide direct support to the People and Culture Director by assisting with staffing and recruiting activities.

CORE RESPONSIBILITIES 

People + Culture: 

  • Maintains accurate and up-to-date human resource files, records, and documentation.

  • Answers frequently asked questions from applicants and staff relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to People, Culture and Sustainability Manager or executives as needed.

  • Maintains the integrity and confidentiality of human resource files and records.

  • Supports People, Culture and Sustainability Director with accurate and timely data entry into all HRIS

  • Performs periodic audits, as directed, of HR files and records to ensure that all required documents are collected and filed appropriately.

  • Provides administrative support to the People and Operations teams. 

  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.

  • Maintains recruiting email inbox and tracking of applicants in Google drive, assists with job posting, supports communication with applicants and arranging interviews. 

  • Arranges, conducts and supports new hire onboarding.

  • Assists with execution of special events such as benefits enrollment, staff events and retreats, staff recognition, all-hands-on-deck events, and other similar moments.

  • Participates in staff trainings and cultural activities 

  • Participates in leadership & professional development and commits to growth and transformation within the work in service to Black Liberation


Operations: 

  • Provides administrative support to the Deputy Director (calendar management, email support, etc)

  • Primary support for logistics of org-wide events and programmatic events

    • Supports Executive Coordinator on programmatic logistics (purchasing, food, space rental) Ex: Juneteenth, end of year celebration, a large scale training 

    • Supports Executive Coordinator and other staff on internal logistics 

  • Manages our physical office and staff’s the front desk (upon reentry to in-person working in 2022) 

  • Support fiscal transition to organization’s independence 

Performs other duties as assigned*

* As a young and growing organization, we know we must be flexible and adaptive to change; this requires a willingness to hold that these specific responsibilities may shift and work may be required on evenings and weekends. This may also look like “All hands on Deck” moments around key programmatic activities and campaigns. 

Experience and Qualifications Required:

  • 2+ years experience in an administrative assistant role, experience working in human resources is preferred

  • Experience providing administrative support in a social justice nonprofit environment is a plus

  • Love for and desire to be building relationships with Black community members 

  • Proficiency using Microsoft and GSuite, internet based technology; 

  • Experience working with different HRIS is a plus 

  • Experience working with confidential information is a plus

  • Positive and open personality

  • Strong interpersonal skills, experience managing multiple deadlines, and maintaining attention to detail

  • Common sense, flexibility, and teamwork skills with the ability to exercise independent judgment

  • Steadfast commitment to collective liberation and ability to speak and unite those behind Black Vision’s mission and vision

  • Time and project management skills; ability to pivot to meet current events and organizational needs while maintaining attention to detail

  • Access to reliable transportation

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage. Flexibility to work outside normal business hours that include evenings and weekends and work extended hours to accomplish requirements of the position.

*Due to COVID-19, Black Visions staff are currently working from home with a few moments (about 1x/month) when staff are expected in person. 

REPORTS TO & LOCATION

  • This position reports directly to the People, Culture and Sustainability Manager

  • Position is located in Minneapolis, MN. All Black Visions staff must have a home address in Minnesota.

This is a full-time salaried position. Salary will be set commensurate with experience and will include a full package of benefits including health and dental insurance, matching retirement, investment in personal development, and an expansive time off policy. 

Salary range: $59,000 - $62,000 pending experience
